Custom printed notepads and memo pads for corporate promotions (stock image)

Custom Notepads from China: OEM Printing, MOQ & Paper Guide

Notepads look like the simplest item on a promotional order — and that is exactly why they go wrong. A buyer approves a sample pad, then the bulk delivery arrives with sheets that tear out of the glue, covers that curl in a warehouse, or a logo that sits 3 mm off-centre on every sheet. None of it is a factory "mistake" in the usual sense: pads are cheap per unit, so small spec decisions carry a large share of the cost, and nobody wrote those decisions down.

This guide is written for distributors, promotional-product resellers and brand owners sourcing custom notepads, memo pads and sticky notes from China. It covers the formats that exist, the six specs that actually move your FOB price, realistic MOQs and price bands, the production timeline, and the inspection points that catch problems before the container leaves.

📐 The formats you can actually order

"Notepad" is not one product. The construction determines both the price and whether the pad survives normal use, so choose the format first and the artwork second.

Format Typical build Best for Watch out for
Glued memo pad 50–100 sheets, glue-bound on one edge, chipboard backing Desk giveaways, conference handouts, mailer inserts Weak glue → sheets detach in transit
Sticky notes (self-adhesive) 50–100 sheets, repositionable adhesive strip, 3×3 in or 3×5 in Office use, planner inserts, high-repeat promo item Adhesive strength varies hugely by supplier
Wire-bound / spiral notepad 80–160 sheets, twin-loop wire, hard or soft back Field sales, site visits, notebooks-lite Wire pitch and end treatment; pages must turn freely
Cube / boxed memo set 400–800 loose sheets in a rigid box or tray Corporate gift sets, office desk kits Box board thickness; sheets sticking together
Die-cut shaped pad Custom silhouette, usually 50–80 sheets per pad Retail promotions, seasonal campaigns Dies are per-shape; sheets must align after cutting

For corporate gifting, the highest-value combination is a memo pad plus a matching custom notebook and printed pen in one box — buyers perceive a set, factories see three line items that share paper stock and printing plates, which is why sets often cost less than three separate orders. Our corporate gift set guide walks through that bundling logic.

💰 The six specs that drive your price

Two quotes for "A5 notepad, 100 sheets, full colour" can differ by 60%. The gap is almost always in these six fields, so specify all six in your RFQ.

Spec Common range Cost / quality impact
Sheet size A6 / A5 / A4 / 3×3 in / 3×5 in / custom Non-standard sizes need a new cutting die; A5 and 3×3 in are cheapest because the parent sheet divides cleanly
Sheet count per pad 50 / 80 / 100 / 150 Paper is the largest material cost; 50 → 100 sheets roughly adds 35–45% to unit cost, not 100%
Paper GSM 60 / 70 / 80 / 100 gsm woodfree 70–80 gsm is the usability floor; below 70 gsm ballpoint pressure prints through to the sheet beneath
Backing board None / 300 gsm grey board / 1.5 mm chipboard Without a backing board a glued pad is unusable in the hand — the cheapest place buyers cut and regret
Print coverage 1-colour logo / 4-colour header / full-bleed every sheet Full-bleed on all sheets is a different printing route (sheet-fed offset) than a single-colour logo stamp
Individual packaging Bulk carton / polybag / printed belly band / rigid box Polybag plus belly band can add 0.08–0.20 USD per pad; rigid boxes change the freight profile

One practical note on paper: 80 gsm woodfree is standard, but if the pads carry heavy logo coverage in dark ink, ask for the reverse side to stay unprinted and check that no set-off appears after stacking. Set-off in a warm container is one of the most common complaints on printed paper promotions, and it is invisible in a single-sample approval.

🖨️ Printing and finishing options

  • Sheet-fed offset — the workhorse for 4-colour headers and full-bleed pads. Sharpest result, best cost at 3,000 pads and above.
  • Digital print — viable for 300–1,000 pads or for personalised/variable runs; unit cost stays flat instead of dropping with volume.
  • Foil stamping — gold or silver logo on the cover sheet or backing board. Reads as premium in corporate gifting; adds a die plus a stamping pass.
  • Spot UV / matte lamination — on covers and rigid boxes. Lamination also protects against scuffing in transit.
  • Edge painting — coloured pad edges; a strong visual effect that most buyers never ask for, which is exactly why it stands out in a gift set.
  • Perforation — tear-off sheets, useful for shopping lists and order pads. Requires a dedicated perforation rule, so confirm it at quotation stage.

📦 MOQ reality and indicative FOB pricing

Paper promotions are a volume business. Below roughly 500 pads the factory spends more time setting up plates and glue stations than running the job, and the quote reflects it. Indicative FOB Guangzhou bands for an A5 pad with 80 gsm paper, 1.5 mm chipboard backing and a 4-colour header (ranges only — final price depends on your artwork, sheet count and packaging):

Quantity (pads) 50 sheets 100 sheets Notes
500 1.05–1.45 USD 1.55–2.10 USD Plate/setup cost spread over few units
1,000 0.75–1.05 USD 1.15–1.55 USD Most common promotional order size
3,000 0.52–0.78 USD 0.82–1.15 USD Offset becomes clearly cheaper than digital
10,000 0.38–0.58 USD 0.60–0.88 USD Paper bought to size; freight, not unit price, becomes the constraint

For sticky notes specifically, expect a tighter price band and a higher MOQ floor — the repositionable adhesive is bought in industrial quantities, so suppliers rarely quote below 1,000 pads. If you need 300 units for a test market, the honest answer is that a digital-printed memo pad is achievable while custom sticky notes usually are not. Our factory MOQ guide explains why the floor sits where it does across paper categories.

🏭 How a pad is actually made

Six steps, and each one is an inspection point later:

  1. Paper and board in — parent sheets cut to size; board cut for backing.
  2. Printing — offset or digital, then drying. Ink must be fully cured before stacking or you get set-off.
  3. Cutting — sheets trimmed to final dimensions; tolerance should be ±1 mm.
  4. Collating — sheet count verified per pad, usually by weight plus spot count.
  5. Gluing / adhesive application — pad glue applied on one edge, or repositionable adhesive coated for sticky notes. This is the step most responsible for returns.
  6. Backing, packaging, cartoning — board attached, polybag or band applied, export cartons labelled.

Standard lead time is 15–20 days for 1,000–3,000 pads after artwork approval, plus 3–5 days for a pre-production sample. Two calendar traps matter every year: Chinese New Year (factories close 2–4 weeks, and the two weeks before closure are the worst time to start a job) and Q4, when promotional buyers overload paper factories in September and October. If your pads are for a January trade show, place the order in October.

✅ Six inspection points before the container leaves

  1. Glue bond — take a pad, hold it by the top sheet and shake it. Sheets must not release. Then peel the top sheet: it should come away cleanly without tearing the second sheet.
  2. Sheet count — weigh 5 pads against the specified count and physically count 2 more. Under-count is the most common silent shortfall.
  3. Print registration — logo position must be consistent across the run; check the first, middle and last pad of a carton.
  4. Colour match — compare against the approved Pantone or the signed sample under daylight, not factory fluorescent light.
  5. Set-off / blocking — fan a pad open; no ink transfer between facing sheets, and no sheets stuck together at the edges.
  6. Dimensions and backing — measure sheet size and board thickness; confirm the board is the specified grade, not a thinner substitute.

For sticky notes, add one more: apply and lift the same note five times on a standard office surface. A pad that loses tack after two lifts will not survive a real desk. Nothing here is exotic — it is simply the difference between inspecting and assuming.

🤝 Where Clocore fits

We source paper and promotional products from vetted factories in Guangdong, mostly for buyers who need a reliable partner rather than the lowest quote on a marketplace listing. In practice that means: turning your artwork into a spec sheet the factory cannot misread, running the pre-production sample against your actual brand colours, arranging third-party inspection before shipment, and combining pads with notebooks, pens or packaging so everything arrives as one coherent gift set. If you are also shipping other items, our custom packaging guide covers how to consolidate cartons and avoid paying for air in your freight.

❓ FAQ

Can I order 300 pads? Usually yes for digitally printed memo pads, at roughly 40–60% higher unit cost than the 1,000-piece price. Custom sticky notes are harder below 1,000 pads because of the adhesive purchasing step.

Can every sheet carry my logo? Yes, but full-bleed printing on all 100 sheets is a different and more expensive route than printing one coloured header. Many buyers get the same perceived result with a printed header plus a cover sheet.

How close can you match my brand colour? Provide Pantone references (coated) and we print to match off the approved sample. Slight variation is normal on uncoated paper; approve a physical sample, not a screen proof.

Can the pad be branded with foil instead of ink? Yes — foil on the cover or backing board is the standard premium upgrade and works well when the pad is part of a gift box.

Do you handle the packaging as well? Yes. Belly bands, printed sleeves, polybags and rigid boxes can all be produced with the same order, which usually reduces total cost compared with buying packaging separately.
